We seek a qualified individual to be the key person working as the office manager / executive assistant with the Principals of Magnet Agency to grow and build our boutique Executive Search practice. We have a 7 year history of delivering excellent results within talent management and recruiting across Technology, Media, Advertising and Financial Services with a particular focus on building out full leadership teams. In order to grow our practice further, we are seeking to continue to professionalize our established infrastructure and need someone to lead and implement that effort.
The ideal candidate will be comfortable working in a boutique, entrepreneurial environment with high-energy senior professionals. He/ she will have an undergraduate degree and have worked for a minimum of 5 years in a relevant professional environment, preferably in Recruiting or similar Professional Services organization.
Important skills include: excellence in presentation and production; comfort with travel and event management arrangements for senior executives; attention to detail; a desire to learn and take on responsibility over time; and the ability to work in a fast-paced and multi-tasking environment. In addition, most of our clients and candidates are senior executives and board members in technology, who respond and travel on weekends and after hours.
Proficiency in Word, Excel, Powerpoint, some graphics or design experience would be helpful, and familiarity with Quick Books will be helpful but not required. We are seeking someone who is very comfortable with technology.
Note: this role requires scheduling of candidates outside of regular office hours and weekends. This work can be done remotely but it is essential to be connected and available when executives are available, which is often outside of normal office hours.
Client Management & Sourcing – (40% of time): Given nature of client engagements, the EA will often be the linchpin to communications amongst team members and will manage the day to day scheduling and often communications with client executives when time zones, deadlines, and multiple activities require principals to be out of contact. Will be responsible for supporting search efforts by identifying talent for ongoing search efforts using LinkedIN and other tools to source candidates from target companies.
Social Media & Event Planning – (20% of time): Working closely with the principals to ensure visibility at networking and charity events as well as arranging meetings with high-profile executives and potential clients. Maintaining social media presence on Quora, Twitter, Facebook and other channels as necessary and in a pro-active manner.
Office Management – (20% of time): working with principals of firm for ongoing information management; resource for client inquiries and follow through that do not require principals’ input; ensuring smooth functioning of day-to-day office environment.
Administrative – (20% of time): Travel arrangements, presentation and production of client materials/proposals, general administrative duties for the principals.
